IPG Safe Transportation Policy
Effective: 2025
At IPG Event Technology, we prioritize the safety of our equipment, our customers, and other drivers on the road. To that end, we require all clients renting equipment to follow the guidelines below to ensure safe and secure transportation.
If you're not confident your vehicle meets the following requirements, IPG offers professional delivery and pickup services for an additional fee. Please contact us to arrange these services in advance.
General Requirements
Customers must arrive with a vehicle suitable for transporting rented items and must have prior experience loading and securing such equipment
IPG reserves the right to refuse the release of any rental items if, in the judgment of an IPG team member:
- The vehicle is not adequately equipped.
- The vehicle appears to exceed its load capacity.
- The equipment may be damaged in transport.
Vehicle and Loading Guidelines
All items must fit completely inside the vehicle. No part of the equipment may extend outside the vehicle, including out of windows, trunks, or pickup truck beds.
Enclosed Transport: Equipment should be transported in enclosed vehicles (e.g., box trucks, vans, enclosed trailers). Items must be properly secured to side walls using ratchet straps.
Pickup Trucks:
- Tailgates must be fully closed. No equipment may extend beyond the rear or sides of the truck bed.
- Equipment must be strapped down securely using ratchet straps (not rope or cinch straps).
- No items may extend above the height of the truck cab.
Weight and Load Considerations
Vehicles must have an appropriate Gross Vehicle Weight (GVW) rating for the rental items. IPG will not release equipment if the transport vehicle appears to be overloaded, even if all items fit inside.
Prohibited Transport Practices
No roof transport. Items may not be strapped to the roof or outside of any vehicle under any circumstances.
No removal from protective cases. Rental equipment must remain in its protective case at all times. Do not attempt to remove items from cases to make them fit in your vehicle.
Weather Considerations: IPG road cases are not weatherproof. Enclosed transport is required if:
- Rain or snow is expected.
- Roads are wet or snowy.
Open transport (e.g., in pickup beds) is limited to local transportation only, within the Denver metro area, and is still subject to all safety requirements listed above.
Thank you for helping us keep our equipment and your team safe. If you have any questions about vehicle suitability or want to request delivery, please don’t hesitate to contact us.
